Appointment Reasons enable you to create templates for common types of appointments within the practice. They can be configured with default options such as color coding, appointment duration, one or more providers, and one or more resources. When scheduling a new appointment, simply select an appointment reason and the configured template will apply.

You always begin with finding the appointment reason before creating, editing, or deleting an appointment reason.
Find Appointment Reason
- On the top menu bar, click Appointments > Appointment Reasons. The Find Appointment Reason window opens.
Tip: To narrow down the list when there are numerous reasons, use the Look For search bar to enter all or part of a keyword for the appointment reason. Then, click Find Now.

New Appointment Reason
- To prevent duplication, verify the appointment reason is not in the system then click New at the bottom. The New Appointment Reason window opens.
- Enter the information.
- Name: The name for the appointment reason.
- Description: A brief description to clarify the appointment reason for users scheduling appointments.
- Color Code: Click Colors and select a color for the appointment reason.
Note: Color coding appears on the sidebar of each appointment on the calendar.
- Duration: The length of the appointment in minutes.
- Resources: If applicable, click the drop-down arrow and select a default resource. Then, click Add. The resource is listed in the Resources section. Repeat as necessary to add more than one resource.
- To remove a resource, right click on the listed resource and select Delete. A confirmation pop-up appears. Click Yes to confirm removing the resource from the appointment reason.
- When finished, click Save.

Edit Appointment Reason
- Find the appointment reason then double click to open. The Edit Appointment Reason window opens.
- Make the necessary changes.
- Click Save. The appointment reason is updated for all associated records.

Delete Appointment Reason
- Find the appointment reason then click to select it.
- Click Delete. A confirmation pop-up appears.
- Click Yes to confirm the deletion. The appointment reason is deleted.
Note: Only appointment reasons with no other records associated, such as an appointment or provider resource, can be deleted.
