Data Services: Migration

Migrate your data from one Tebra practice to a new Tebra account or an existing practice.

Services

Tebra offers two data migration services: full or partial. Review the options below to choose a service that fits your needs.

FULL MIGRATION PARTIAL MIGRATION
$500 per practice


All data from a practice in Tebra is copied to a new Tebra practice with the exception of: surveys, claim notes, provider profiles, and Patient Portal accounts (providers and patients). 

Migrations are scheduled every week Monday through Wednesday. Once the scope of the migration is determined, it's typically completed within 30 business days. Contact the Data Services team for a quote if the scope of the migration involves multiple practices or if you have any additional questions about migrations.

Copy and move select data from a practice in a Tebra account to a new Tebra account or an existing practice. Data includes:

  • Practice information
  • Appointments (Patient)
  • Appointment Reason
  • Practice Resource (Scheduling Resources)
  • Patients (Patient IDs can remain the same if the target is a new account)
  • Patient Alerts
  • Referring Providers
  • Insurance Company
  • Insurance Plan
  • Fee Schedules (Standard and Contract)

FAQs

Answers to the most common data migration questions.

Question Answer
What happens to the old Tebra practice after a Full Migration is completed? Once the migration is completed, the old practice will be deactivated and inaccessible.
Will users from my old practice have access to the new practice after a Full Migration? Yes, if a list of users from the old practice is provided to the Data Services team to link to the new practice. During the migration, all users will be unlinked from the old practice. After the migration is completed, users on the provided list will be linked to the new practice.
Can I work in my new practice during the Full Migration? No, to avoid errors and duplicate data, please do not use the practice until the migration is completed.
Can I work in my old practice during a Full Migration? Yes, until the provided cut off deadline. The Data Services team will provide you with a date and time when all users must stop working in the account and be logged out of the account.  The migration will fail and cause delays if users are still logged in after the deadline.
What data is not included in a Partial Migration? The following data will not migrate to the new practice for a Partial Migration:
  • Encounters
  • Claims
  • Payments
  • Clearinghouse Reports
  • Documents
  • A/R
  • Messages
  • All clinical information (e.g., clinical notes, labs, documents, and etc.)
What is required of my new account or practice prior to a Partial Migration? Create a new practice with provider(s) and service location(s) populated in the desired account for migration. The account can be a new or existing Tebra account.
Can I work in my old account during the Partial Migration? To avoid any loss of new data entered, provide a date and time the new account will go live and the Data Services team can coordinate the best way to mitigate any loss.
Can I work in my new account during a Partial Migration? No, after the practice wizard is completed in the new practice, please do not use the new practice until the migration is completed.
