Tasks help track work items you would like to remind yourself (or another user) to complete. A task can be assigned to a specific user and attached to a record (e.g., appointment, encounter, patient, or payment).

You always begin with finding the task before creating, editing, or deleting a task. 

Find Task

  1. On the top menu bar, click Tasks & Messages > Find Tasks. The Find Task window opens.

  2. In the search bar, enter all or part of a keyword of the task. If necessary, filter by Record type, Type of task, Assigned To or Due Date. Then, click Find Now. The search results are listed.
    • To search all tasks, set filters to Assigned To: AnybodyDue Date: All, Record and Type: Any (by default).

New Task

  1. To prevent duplication, verify the task is not in the system then click New at the bottom. The New Task window opens.
  2. Enter the information:
    1. Assigned to: Click Assigned To to search and select a user to assign the task to or leave blank to indicate anybody can complete the task. Assigned tasks will also display under the selected user's To Do List on the Dashboard
    2. Subject: Enter a descriptive subject for the task.
    3. Due Date: Enter or click the drop-down arrow to select the date the task is due.
    4. Priority: Enter or click the drop-down arrow to select the priority (1-10) with 1 being the highest and 10 being the lowest.
    5. Status: Defaults to New. If necessary, click the drop-down arrow to select a different status for the task.
    6. Related To: Click the drop-down arrow to select a specific record type (e.g., Appointment, Encounter, Patient, or Payment) the task relates to. If a specific record type is selected, a button appears. Click the button to search and select the record to attach to the task.
      Note: If the new task was created under the Tasks tab of a specific record, the record type and ID auto-populates.
    7. Type: Click the drop-down arrow to select the type of work required to complete the task.
    8. Comment: Enter any comments related to the task.
  3. Click Save.

Edit Task

  1. Find the task then double click to open it. The Edit Task window opens.
  2. Make the desired changes.
  3. Click Save.

Delete Task

  1. Find the task then click to select it > Delete. A confirmation pop-up appears.
  2. Click Yes to confirm the deletion. The task is deleted.
