The Documents feature allows faxed, scanned, or digital (e.g., Word, Excel, PDF) documents to be stored and attached to various records (e.g., Patient, Encounter, Payment, Provider, Appointment). Each Document record includes the actual file and any descriptive information added about the document. You can add documents from file or scanner. Faxed documents are received via kFax and automatically uploaded and stored under Documents. Documents uploaded through the Desktop Application (PM), Clinical, or the Mobile App are viewable in both systems. You can access documents in the web platform via Documents and Patient Documents.
Note: Refer to the Data Storage section of the Pricing Policy page for document storage allowance and fees. Scanned documents can take up a large amount of storage space, review Document Storage and Best Practices for more information.
Navigate to Documents
- On the top menu bar, click Documents > Find Documents. The Find Document window opens.
Tip: For faster navigation, click the Find Documents icon, click Documents under the Navigation pane Shortcuts, or press F11 on the keyboard.

Navigate Documents
- Filters: Use the filters to find a document then click Find Now. The search results are listed.
- Documents List: Displays information such as the document ID number, creation date, label, name, status, etc. Scroll as necessary to view more information.
- To open and view a document, find the document in the list and double click or click once to select then click Open.
- If the document is a digital file (e.g., Word, Excel, PDF), the browser or associated software application opens to view the document.
- If the document is a previously scanned or faxed document, the Document Viewer opens.
- Pagination: Click the arrows to navigate forward or back, or enter a specific page number then press Enter on the keyboard. Each page displays up to 20 documents.

- Info: To edit or view more details of the selected document, click Info.
- Save As: To save a copy of the selected document, click Save As.
- Print: To print a selected scanned or faxed document, click Print.
- To print a document that is a digital file (e.g., Word, Excel, PDF), open the document. The browser or associated software application opens then use the browser or application's print function.
- Delete: To delete the selected document, click Delete. Then, click Yes to confirm the deletion.
- New Message: To send a new message to staff with the selected document attached, click New Message.
- Add from File: To upload a document, click Add from File.
- Add from Scanner: To scan a document, click Add from Scanner.
