Subscription Management: Subscriptions

Once patients are enrolled in subscription plans, practices can review and manage those subscriptions at any time. The Subscriptions report is a customizable report that allows practices to update the payment method, pause, resume or cancel subscriptions.

Note: Tebra's Subscriptions feature is available for practices with Tebra Payments or Patient Collect (Stripe) activated.

Access Subscriptions

  1. Hover over the Billing icon and click Subscriptions under the Recurring Payments menu. The Subscriptions Management page opens.
  2. Click Subscriptions. The Subscriptions report displays.

Navigate Subscriptions

The Subscriptions report can be customized to include specific data and how the data displays. Customization does not automatically save and once a user navigates away from the page, the default view displays when the page is accessed again.

  1. Search: Enter search criteria (e.g., patient name or date of birth, etc.) in the search box to find a specific subscription.
  2. Refresh Data: Click the refresh icon to refresh the report data as necessary.
  3. Table Filters: By default, all subscriptions display in order of the most recent to oldest start date.
    • To filter by specific criteria, click the filter icon and add the appropriate filter(s) (e.g., Patient, Plan, Status, etc.).
      • To remove a filter, click X on the left side of the added filter.
      • To remove all filters, click Remove All.
  4. Table Configuration: Click the gear icon to adjust the table density (e.g., Compact, Standard, Comfortable) and/or manage the table columns to hide/show a column.
  5. Export: Click to download the report to CSV or Excel.

  1. Columns: Customize the report to only display specific columns and in the preferred order.
    • To reorder the columns, click the column header then drag and drop in the preferred order.
    • To sort by ascending or descending, hover over the column header and click the arrow.
    • To sort more than one column, hold down the Shift key on the keyboard and click to select the column(s).
    • To sort, unsort, pin to left or right, filter, hide or manage columns, hover over the column header and click the more options icon.
  2. Subscription summary: Displays information such as the patient name, patient date of birth, primary contact information, subscription plan name, authorization and subscription statuses, etc. Scroll as necessary to view more information.
  3. Right side more options icon: Available options depend on the subscription status. Hover over and click the more options icon to update the payment method, pause, resume, or cancel a subscription.
    Note: Canceling a subscription cannot be undone and updating the payment method requires a new authorization to be completed.
  4. Pagination: By default each page displays 25 subscriptions.
    • To change how many subscriptions are displayed per page, click the Rows per page drop-down arrow and select 10, 25, 50, or 100.
    • To navigate forward or back a page, click the arrows.

Authorization Statuses

Authorization statuses display in the Authorization column of the report. Below are the statuses and brief descriptions.

Status Description
Pending Authorization has not been completed and no charges for the subscription will be made.
Signed The patient completed and signed the digital authorization form that was emailed to them and was automatically stored in the patient's documents.
Attested A user at the practice has manually submitted authorization, confirming a signed written authorization form (for the selected payment method on file) was collected and stored in the patient's documents.
Revoked The subscription was canceled by a user at the practice while its digital authorization was still pending.

Subscription Statuses

Subscription statuses display in the Status column of the report. Below are the statuses and brief descriptions.

Status Description
Active The payment method and completed authorization are on file; charges are occurring automatically and on schedule.

Active subscription plan payments processed through:
  • Tebra Payments, can be reviewed on the Transactions page of the Payments Hub. These payments display as Subscription Payment under the Type column.
  • Patient Collect (Stripe), can be reviewed under the Payment Transactions of the Stripe Dashboard.
Pending The patient is enrolled in a plan, but cannot be charged because completed authorization and/or the payment method is missing.
Note: To manually submit authorization and/or add a payment card, review Actions Required.
Paused A user at the practice has temporarily suspended the subscription.
Note: Any billing date(s) scheduled during the pause are skipped and not charged at a later time.
Canceled A user at the practice has ended the subscription and no further charges will be made. This action is permanent and cannot be undone.
Expired A fixed-term subscription plan has reached its final scheduled charge and has automatically stopped billing.
