Subscription Management: Actions Required

The Actions Required report helps practices quickly identify and resolve subscription issues like missing authorizations, missing payment methods, declined payments, and expiring or expired cards. Review the Actions Required report regularly to keep subscription billing running smoothly.

Note: Tebra's Subscriptions feature is available for practices with Tebra Payments or Patient Collect (Stripe) activated.

Access Actions Required

  1. Hover over the Billing icon and click Subscriptions under the Recurring Payments menu. The Subscriptions Management page opens.
  2. Click Actions Required. The Actions Required report displays.

Navigate Actions Required

The Actions Required report can be customized to include specific data and how the data displays. Customization does not automatically save and once a user navigates away from the page, the default view displays when the page is accessed again.

  1. Search: Enter search criteria (e.g., patient name or contact, etc.) in the search box to find a specific subscription.
  2. Refresh Data: Click the refresh icon to refresh the report data as necessary.
  3. Table Filters: By default, the subscriptions display in order of the most recently identified issue to the oldest.
    • To filter by specific criteria, click the filter icon and add the appropriate filter(s) (e.g., Patient, Plan, Reason, etc.).
      • To remove a filter, click X on the left side of the added filter.
      • To remove all filters, click Remove All.
  4. Table Configuration: Click the gear icon to adjust the table density (e.g., Compact, Standard, Comfortable) and/or manage the table columns to hide/show a column.
  5. Export: Click to download the report to CSV or Excel.

  1. Columns: Customize the report to only display specific columns and in the preferred order.
    • To reorder the columns, click the column header then drag and drop in the preferred order.
    • To sort by ascending or descending, hover over the column header and click the arrow.
    • To sort more than one column, hold down the Shift key on the keyboard and click to select the column(s).
    • To sort, unsort, pin to left or right, filter, hide or manage columns, hover over the column header and click the more options icon.
  2. Subscription summary: Displays information such as the patient name, email address, subscription plan name, the reason action is required, etc. Scroll as necessary to view more information.
  3. Right side more options icon: Available options depend on the reason action is required. Hover over and click the more options icon to update the payment method, retry payment, authorize, resend authorization email, pause or cancel a subscription.
  4. Pagination: By default each page displays 25 subscriptions.
    • To change how many subscriptions are displayed per page, click the Rows per page drop-down arrow and select 10, 25, 50, or 100.
    • To navigate forward or back a page, click the arrows.

Actions Required Reasons and Resolutions

The reasons for actions required display in the Reason column of the report. Below are the reasons, brief descriptions, and how to resolve them.

Reason Description Resolution
Needs Authorization There is no completed authorization form on file and automatic charges for the subscription cannot be made. The available options to complete authorization are digital or manual submission.
  • For digital authorization, the patient (or patient's parent/guardian) completes and signs the authorization form that was automatically emailed to them during the enrollment process. Once completed, the subscription is removed from the Actions Required report and its statuses update in the Subscriptions report. The authorization status updates to Signed and the subscription status updates to Active.
    Note: The digital authorization form is automatically added to the patient's documents.
    • To resend the authorization email, click the right side more options icon and select Resend Authorization Email.
  • To manually submit authorization, the practice collects a signed written authorization form from the patient (or patient's parent/guardian) granting the practice the right to charge the saved payment card on file on a recurring basis according to the subscription plan terms and uploads the form to the patient's documents.

    Then, to attest the written authorization form was collected and stored, return to Actions Required:
    1. Find the subscription then click the right side more options icon and select Authorize. The Authorize Recurring Payment pop-up opens.
    2. Review the authorization statement. Then, click to select "I attest that I have collected a signed authorization form from this patient and have stored it in the patient's record".
    3. Click Submit. Once completed, the subscription is removed from the Actions Required report and its statuses update in the Subscriptions report. The authorization status updates to Attested and the subscription status updates to Active.
Needs Payment Method The patient does not have any saved payment cards on file to charge for the subscription. To add payment cards:

Once the payment card is saved on file, authorization must be completed through the Subscriptions feature (via digital or manual submission).

Card Expiring The payment card showing in the Payment Method column is approaching its expiration date (the last day of the expiration month is within 60 days of the current date). The available options are to switch to another saved card on file, edit or remove the expiring card, or add a new payment card.
  • To switch to another saved card on file, click the right side more options icon and select Update Payment Method to select a different payment card.
  • To edit or remove the expiring card and/or add a new payment card:
    Note: Engage subscribers and accounts with access to Patient Intake can use the digital credit card authorization form to request the patient's card information to save on file, but authorization must still be completed through the Subscriptions feature (via digital or manual submission).
    • For Tebra Payments activated practices, saved cards cannot be edited at this time but can be added or removed via the Collect Patient Payment workflow.
    • For Patient Collect (Stripe) activated practices, click the patient name to open the patient's Facesheet. Then, add, edit or remove the payment card as necessary.

Once the payment card information is updated, authorization must be completed through the Subscriptions feature (via digital or manual submission).

Card Expired The payment card showing in the Payment Method column has passed its expiration date and cannot be charged. The available options are to switch to another saved card on file, edit or remove the expired card, or add a new payment card.
  • To switch to another saved card on file, click the right side more options icon and select Update Payment Method to select a different payment card.
  • To edit or remove the expired card and/or add a new payment card:

    • For Tebra Payments activated practices, saved cards cannot be edited at this time but can be added or deleted via the Collect Patient Payment workflow.
    • For Patient Collect (Stripe) activated practices, click the patient name to open the patient's Facesheet. Then, add, edit or remove the payment card as necessary.

Once the payment card information is updated, authorization must be completed through the Subscriptions feature (via digital or manual submission).

Card Declined The last automatic charge to the payment card showing in the Payment Method column declined. The available options are to reattempt the charge, switch to another saved card on file, remove the declined card, and/or add a new payment card.
  • To reattempt the charge, click the right side more options icon and select Retry Payment.
    Note: The charge can only be reattempted within two weeks of the card declining and cannot exceed five attempts.
  • To switch to another saved card on file, click the right side more options icon and select Update Payment Method to select a different payment card.
  • To remove the declined card and/or add a new payment card:

If payment card information was updated, authorization must be completed through the Subscriptions feature (via digital or manual submission).
