AI Voice Assistant FAQs
Answers to the most common questions about AI Voice Assistant.
General
| Question | Answer |
| What is Tebra’s AI Voice Assistant? | AI Voice Assistant uses artificial intelligence to answer patient calls, automate routine administrative tasks, and support patient communication workflows. Tebra AI Voice Assistant helps practices answer routine calls, schedule appointments, capture prescription refill requests, answer common questions, and route more complex conversations to staff when needed. |
| What types of calls can the AI Voice Assistant handle? | AI Voice Assistant can manage the most common call types your front desk deals with:
|
| What languages are supported? | AI Voice Assistant supports both English and Spanish. The AI automatically detects whether the caller is speaking English or Spanish and responds in the same language, so your practice can serve a diverse patient population without additional setup. Note: Spanish support cannot be turned off. |
| Do patients need to call a different number or update their contacts? | No. The patient will continue to call the practice's main public number. |
| Is AI Voice Assistant HIPAA compliant? | Yes. The AI Voice Assistant is designed for healthcare workflows and includes safeguards that protect patient PHI and utilize the appropriate patient communications within the Tebra platform. Healthcare organizations remain responsible for maintaining their own HIPAA compliance policies and procedures. |
| Will patients know they are speaking with AI? | Yes. The AI Voice Assistant uses a standard greeting that makes clear an AI assistant is handling the call and directs medical emergencies to 911. Calls that require human assistance can be transferred to staff. |
| Can I try the AI Voice Assistant before I commit? | Yes. Call our demo number right now (970)-335-8861. |
Setup
| Question | Answer |
| How do I sign up for the AI Voice Assistant? | Review AI Voice Assistant to learn more. Or reach out to your Sales Representative/Account Manager for further assistance. |
| How do I set up the AI Voice Assistant? | A System Administrator must activate AI Voice Assistant to to generate a dedicated AI voice number first. Then, a System Administrator can walk through the remaining setup to customize the practice's AI Voice Assistant. Resources: |
| How long does activation take? | It can take up to one business day to generate a dedicated AI voice number. Once the number is assigned the customization time varies depending on the practice's phone carrier and additional set up. |
| What do I need to complete the setup? | For the best experience, the following should be configure in Tebra before getting started:
Additionally, the practice should have a public practice number and backup transfer number ready for all applicable service locations.
|
| Why is a backup transfer number required? | A separate backup transfer number is required because your main practice number forwards to the AI; transferring back to the main number would create an infinite call loop. |
| Does the backup transfer line need voicemail? | Yes. A working voicemail is mandatory so unassigned or missed calls are captured. |
| We have more than one location. Do I need a backup transfer number for each? | You can share one backup transfer number across multiple locations, but only if the staff who answers that line can genuinely handle patient needs for every location that routes to it. They will receive escalated calls for all of those locations, and they need access to schedules and answers for all of them. If each location has its own front desk and its own staff, give each location its own backup transfer number. |
| Can I use a number I already have instead of adding a new backup transfer number? | Yes, if these statements are true:
|
| Can I use an internal extension or cell phone as the backup transfer line? | Internal extensions (e.g., Ext 101) cannot be used because the AI calls from outside your system and requires a full 10-digit direct line. A staff member's cell phone can be used temporarily for testing, but a dedicated practice direct line ringing all front-desk phones simultaneously is strongly recommended for production. |
| Can I use my fax line? | Only if the line no longer receives faxes and you reassign it to ring your front desk phones. Before you use it, reassign the number to your front desk phones, add voicemail, and test it by calling from a cell phone. |
| Are there any additional phone carrier costs? | Each practice location requires a backup transfer phone number to transfer calls to your staff when needed. This is a standard secondary line provided by your phone carrier, and costs will vary depending on your provider. Please contact your phone carrier directly to inquire about exact charges for a standard secondary line. |
| What if the practice has multiple locations? | You will receive a dedicated AI Voice Assistant number for each location. To ensure the best experience, your practice should have:
|
| Can I change the backup transfer number later? | Yes. Once setup is complete you can update it from AI Voice Assistant in practice settings. If you have multiple locations, each location is managed separately, so verify the correct location is being updated. After the updates are completed, test the number to verify calls are transferred to the right number and the call is picked up. |
| Why does every location need its own AI Voice number? | The AI figures out which of your locations a patient is calling by looking at which AI Voice number the call arrived on. If two locations shared one AI Voice number, the assistant would not know which location's schedule to check, which address to give, or which hours to provide. So each location gets its own AI Voice number from Tebra, and each location's public number forwards to its own matching AI Voice number. |
| Do I need to change the practice phone number? | No. Tebra gives you a dedicated AI Voice Assistant number and helps you forward calls to it. This number is not publicly shared with patients and your existing phone number stays the same. |
| What can be customized during the AI Voice Assistant setup? | Your AI Voice Assistant will be personalized with your practice name, address, phone number, visit reasons, and accepted insurance plans. Additional customization requests are not currently supported. |
| When can Tebra AI Voice Assistant take calls? | AI Voice Assistant works whenever you forward calls to it. Common setups include:
|
| How do I turn the assistant off, or pause it? | You control this from your own phone provider, not from Tebra. Turn off call forwarding on your public number and calls immediately ring your practice the way they always did. |
Call Handling
| Question | Answer |
| What does my staff experience when the AI Voice Assistant transfers a call? | To get patients' human assistance quickly, the front desk phone rings like any other call and there is no announcement or call summary from the AI. |
| Can I edit the AI Voice Assistant greeting or the assistant name? | Yes. After the setup is completed, System Administrators can update the greeting or assistant name through Manage AI Voice Assistant. |
| Can the AI Voice Assistant answer other questions related to the practice? | Yes. After the setup is completed, System Administrators can edit or add additional information through Manage AI Voice Assistant for the AI Voice Assistant to answer during the call. |
| Can Tebra AI Voice Assistant help patients schedule appointments? | Yes. AI Voice Assistant can schedule appointments for new and existing patients and reschedule or cancel eligible appointments within the practice’s configured rules. Requests outside those rules are directed to staff. |
| How does appointment scheduling for patients work? | After a patient requests an appointment, the AI confirms if they are a new or existing patient, then asks them for a visit reason.
Visit reasons are directly pulled from the Tebra platform and appointments are offered based on the length of the selected visit reason. After the patient chooses an available slot, the AI creates the appointment and confirms with the patient it was sent to the office for review. For new patients, the AI also collects their name, date of birth, and phone number to use for appointment reminders. |
| How does the AI Voice Assistant identify an existing patient? | The AI uses the phone number the patient is calling from along with their date of birth to look up the patient record. If the patient cannot be found, the AI will ask for their phone number to attempt the lookup again. If the patient still cannot be found, the AI will transfer the patient to the escalation number. |
| How does the AI Voice Assistant choose which provider to schedule an appointment with? | For existing patients, appointment availability is offered based on the primary or historical provider stored in the patient’s chart. If the patient is new, they are offered availability with the first available provider. To book a specific provider, the call can be transferred to the practice when available. |
| How far in advance can patients book appointments? | Appointment requests can be scheduled up to one year in advance. The AI Voice Assistant prioritizes offering open appointment times in the next 90 days while allowing patients to request specific dates farther out. |
| Where do scheduled appointments go in Tebra? | Appointments scheduled or rescheduled with AI Voice Assistant will be marked as “Tentative” and will require review before being added to the full calendar. The practice can review appointments from the Tentative appointment link under Outstanding Items. After the appointment is confirmed, patients will receive an email or SMS text message alerting them. |
| Can appointments be rescheduled or cancelled the same day? | The AI Voice Assistant will not cancel or reschedule appointments scheduled within 24 hours. These callers are transferred to staff members so short-notice changes can be evaluated by the practice. |
| Can a patient confirm an appointment they already have? | Yes. A caller can phone in to confirm an appointment already on your schedule, and the AI marks it confirmed in Tebra. |
| How do Rx Refill requests work? | Once the patient is identified, the AI reviews their chart to find eligible medications and asks the patient to select the specific medication they need. It then creates a renewal request for that medication using the patient's historical pharmacy, routing the request to the eRx pending orders section in the Tebra EHR. Note: The AI does not automatically approve refill requests; providers must review and approve or deny them directly from the eRx pending orders page. |
| How does the AI Voice Assistant identify prescriptions ready for refill? | AI only offers medications from the patient’s chart that are eligible for refill:
|
| Can an eRx Refill request be sent to a different pharmacy? | The AI Voice Assistant can only create eRx refill requests for the patient's historical pharmacy. These will be set as Pending eRx requests inside Tebra. The provider will still need to review and send the new prescription to the actual pharmacy. |
| Can AI take a message and send it via the Patient Portal? | No. The AI Voice Assistant cannot send portal messages. If it is after your practice’s hours and the patient needs something AI Voice Assistant cannot help with, the patient will be transferred to your escalation number where they can leave a voicemail. |
| Can the AI Voice Assistant make telehealth appointments? | All appointments created by the AI Voice Assistant are in-person appointments. To support telehealth appointments, practices must add a dedicated "Telehealth" visit reason for patients to select during the call. After a tentative appointment is created for this visit reason, the provider can update the appointment type to "Telehealth". |
| Can a patient verify their insurance plan is accepted? | AI Voice Assistant has access to the list of insurance plans added by the practice in Tebra to answer general questions about which plans are in the network. However, AI Voice Assistant cannot check the patient’s plan number or group ID to confirm an exact plan. |
| What if the AI Voice Assistant cannot handle a call? | Calls will be transferred to your staff using a number you provide, just like a receptionist would. For instance, complex clinical questions or billing questions, etc. are routed directly to your team. |
| What happens if a caller indicates there is an emergency? | If a caller mentions an emergency or urgent situation, the assistant immediately stops and transfers the call to your backup transfer number.

Troubleshooting
| Question | Answer |
| Why does the AI Voice Assistant tell callers there is no availability? | This usually occurs if:
|
| Why are calls going to practice voicemail instead of the AI assistant? | The practice line's ring count before voicemail triggers is likely set too high. Lower the ring count on your main public number to 4 rings or fewer so calls forward to the AI before practice voicemail answers. |
| Why does the AI Voice Assistant fail to answer or disconnect immediately when forwarding is enabled? | This happens when call screening, call announce, or "press 1 to accept" settings are enabled on the phone line. The AI cannot press a key to connect, so screening must be turned off in the phone provider settings (e.g., Google Voice Screen Calls toggle). |
| How do I resolve the error "Something went wrong; let me transfer you to someone who can help." when calling the AI Voice Assistant? | There is a technical issue with how your AI Voice Assistant was personalized. Contact Customer Care for assistance. |
| Why is the AI Voice Assistant not transferring the call when asked? | By design, the AI first offers what it can help with when a caller asks for a person, then transfers if they ask again. If a caller wants a person immediately, they will have to say so twice. |
| What should I do if a caller hears dead air or calls fail completely? | Immediately turn off call forwarding on your phone system (e.g., dial *73) so calls ring the desk directly, then contact Customer Care. |
| Why is the AI Voice Assistant scheduling appointments during the provider breaks? | If a provider uses a break for lunch or admin time without the block-scheduling option checked, the assistant may still offer appointments during this time. If applicable, use an appointment of type "Non-Patient" for that time instead of a break. |
| How do I resolve error messages when I am completing the Add backup transfer number step in the setup? | Review the errors and how to fix them. Error: A backup transfer number is required. Resolution: You need to enter the backup phone number. Error: This must be a direct line, not the main practice number. Resolution: You entered your public practice number that will be forwarding to the AI, so using it here would put callers in a loop. Enter the separate direct line instead. Error: This must be a direct line, not the AI Voice number. Resolution: You entered the AI Voice number provided by Tebra. That is the number the AI answers on, so the AI would be calling itself. Enter your own direct line instead. Error: Enter a 10-digit phone number. Resolution: The number is not ten digits. Enter the full number including area code, with no country code, extension, or extra characters. If your number is correct and still rejected, contact Customer Care. |
