Navigate Calendar

The calendar allows you to manage patient and non-patient appointments with providers and other types of resources in your practice. The calendar provides access to daily, weekly, and monthly views with color-coded appointments organized by provider, resource, and service location. For more customization, set up Appointment Reasons, Scheduling Resources, and Timeblock Calendars.

Navigate to Calendar Views

  • On the top menu bar, click Appointments and select one of the calendars.
    • To view a single day, select Daily Calendar. The Daily Calendar window opens and displays the appointments for the current day by default.
      Tip: For faster navigation, click the Daily Calendar icon on the Toolbar or press Ctrl+Shift+D on the keyboard.
    • To view only Monday through Friday, select Workweek Calendar. The Workweek Calendar window opens and displays the appointments for the current workweek by default.
      Tip: For faster navigation, click the Workweek Calendar icon on the Toolbar or press Ctrl+Shift+W on the keyboard.
    • To view the entire week, Sunday through Saturday, select Weekly Calendar. The Weekly Calendar window opens and displays the appointments for the current week by default.
      Tip: For faster navigation, press Ctrl+Shift+K on the keyboard.
    • To view the entire month, select Monthly Calendar. The Monthly Calendar window opens and displays the appointments for the current month by default.
      Tip: For faster navigation, press Ctrl+Shift+M on the keyboard.

Navigate Calendar

  1. Appointment: Displays the patient name, appointment time, status color, and if applicable, the appointment reason color on the sidebar of the appointment. Hover over to view the provider, appointment reason, and status.
    • For more options, hover over the appointment and right click.
      • Copy: Select to copy the appointment.
      • Delete: Select to delete the appointment.
      • Change Status: Select to update the status of the appointment.
        • Cancelled: Removes the appointment from the calendar.
        • Check-in: Updates the appointment status color to green.
        • Check-out: Updates the appointment status color to gray.
        • Confirmed: The appointment status color remains white.
        • No-show: Updates the appointment status color to red.
        • Rescheduled: Updates the appointment status color to red.
        • Scheduled: Default status when an appointment is created. The appointment status color is white.
        • Seen: Updates the appointment status color to gray.
        • Tentative: The appointment status color remains white.
      • Show Patient: Select to open the Patient record associated with the appointment.
      • Create Encounter: Select to initiate a new encounter associated with the appointment.
      • Create Payment: Select to initiate a new payment associated with the appointment.
      • Print Encounter Form: Select to print the default encounter form (as set in the Provider record).
      • Print Different Encounter Form: Select to print an encounter form that is different from the default encounter form.

  1. Date Picker Calendar: Click to navigate to a specific date.
  2. Navigation Button: Available when viewing the Daily, Workweek, and Weekly Calendars.
    • Today: When viewing the Daily Calendar, click to navigate back to the current date or press Ctrl+T on the keyboard.
    • Current Week: When viewing the Workweek or Weekly Calendar, click to navigate back to the current week or press Ctrl+T on the keyboard.
  3. Filters: Set filters to view and/or schedule appointments.
    • Service Location: Click the drop-down arrow and select a specific service location.
    • Resource: Click to select all or select specific providers and/or scheduling resources.
  4. Actions: Click for additional appointment actions.
    • New Appointment: Select to open the Appointments Details window and create a new appointment.
    • Find Appointment: Select to open the Find Appointment window to search for a specific appointment.
    • Run Batch Eligibility Check: Select to run a batch eligibility check.
    • Print Appointments: Select to open the Appointments Detail report to print.
    • Print Encounter Forms by Last Name: Select to print encounter forms ordered by the patients' last names.
    • Print Encounter Forms by Time: Select to print encounter forms ordered by the appointment times.
    • Add/Remove Reasons: Select to open the Find Appointment Reason window.
    • Add/Remove Resources: Select to open the Find Scheduler Resource window.
    • Appointment Options: Select to open the Edit Appointment Options window.
  5. Refresh: Click to refresh the calendar as necessary.
