Billing

Note: There are no software updates that require installation for the Desktop Application (PM) in August.

Billing General Improvements

  • Kareo was updated with the new CPT codes for the third doses of COVID-19 vaccines that go into effect August 12, 2021. Visit the AMA website for more information.
    Note: Available by the end of August 2021. To avoid delays in billing, a new custom procedure code can be created. 
    • CPT code 0003A for the third dose of the Pfizer COVID-19 vaccine.
    • CPT code 0013A for the third dose of the Moderna COVID-19 vaccine. 

Billing Resolved Issues

  • Fixed an issue where clearinghouse reports and/or ERA files did not route to Kareo accounts 
  • Fixed an issue where submitted claims were not processed and sent to the clearinghouse 
  • Fixed an issue where the kFax line had a busy tone and was not working 
  • Fixed an issue where users received an error message when editing an unapproved encounter by adding procedures 
  • Fixed an issue where itemized payment receipts were not emailed to patients

eRx Requests Dashboard Enhancement

The updated eRx Request Dashboard provides an easy to use and reliable ePrescribing experience for prescribers and proxies. In addition to the new modern look, the dashboard offers the following enhancements:

  • Easily accessible filters for all request types
  • The counter for each tab only displays the number of new requests with an action required
  • Displays when a request has expired
Navigate eRx Requests
  1. Hover over the Clinical icon and click eRx Requests. The Renewal Requests tab displays.
  2. Navigate eRx Requests:
    1. Message Types: Click on a tab to view applicable messages.
      Note: Fill Responses is currently not supported.
      • Renewal Requests: Displays refill requests sent from the pharmacy.
      • Change Requests: Displays prescription change requests from the pharmacy.
      • Cancel Requests: Displays prescription cancelation sent by the prescriber and the response from the pharmacy.
      • Send Failures: Displays any message unable to reach the pharmacy due to communication issues.
    2. Filters: Select a different Status and/or Date to filter the messages.
    3. Sort Column: Click a column to sort by ascending or descending.
    4. Hide Column: To temporarily hide column(s), hover over the column and click the more options icon. Then, select Hide. The column is hidden for the selected tab.
      • To show the columns, refresh the page or hover over the column and click the more options icon. Then, select Show Column and click the toggle(s) to show the hidden columns.
    5. View: Click to review the message.
      Note: The request expires 2 weeks after the request is received and further action cannot be taken.

Clinical General Improvements

  • The Quality Measures logic and supporting documentation will be updated August 23, 2021 to accommodate the 2021 regulatory updates.
  • The patient’s Results (Lab/Radiology), Immunizations, Problems and Appointments are now included in the CCDA Export.

Clinical Resolved Issues

  • Fixed an issue where users received an error message when attempting to print the patient immunizations
  • Fixed an issue where the incorrect quantity displays when prescribing Fluoxetine 10mg tablet
  • Fixed an issue where users received an error message when attempting to export patient data
  • Fixed an issue where users could not save and close the PHQ-9 screening tool when the total score is 0

Patient Communication Customization: Telehealth

Kareo Telehealth subscribers can customize the telehealth email and/or text appointment reminder to help tailor the patient's experience. System Administrators have the option to customize the email for each message (e.g., practice website, cancellation fees) and add an additional text message, when applicable.

Access Customization
  1. Hover over the Platform icon and click on Patient Communications. The Patient Communications page opens.
  2. Click the drop-down arrow to select the provider these settings apply to.
  3. Click on the Appointment Confirmation, Appointment Update, Advance Notice, Appointment Reminder, or Day-of Reminder card to access the reminder's customization. The reminder page opens.
  4. Customize the Telehealth Email reminder or add an additional message to the Telehealth Text reminder (when applicable).

Customize Email Reminder
  1. Click Telehealth Email. The Email Customization displays.
  2. Edit the Top Text and/or Bottom Text message. The new message displays in the email preview.
    • Use a macro to insert the patient name, provider name, link to the video visit, or option to send a message in the desired place.
    • To preview the message for a specific service location, click the Preview for Service Location drop-down and select the service location.
    • To restore the default message, click Reset. Then, click OK on the confirmation pop-up window.
  3. Click Save when finished or if applicable, customize the office text reminder.

Customize Text Reminder
  1. Click Telehealth Text. The Text Customization displays.
  2. Enter an additional message (144 characters max) to send with the appointment reminder. The message displays in the text preview.
    • To preview the message for a specific service location, click the Preview for Service Location drop-down and select the service location.
    • To remove the additional message, click Reset. Then, click OK on the confirmation pop-up window.
  3. Click Save when finished.
