On June 22, 2023, your Kareo account will be upgraded to the latest version.

The customer service experience has been enhanced to provide you better visibility throughout the entire support process. The new in-app Customer Care Center empowers users to submit support requests, upload attachments, and track case progress with statuses in real-time.

Billing

Billing General Improvements

  • Kareo was updated with the new and updated CPT Proprietary Laboratory Analyses (PLA) and COVID-19 codes. Visit the AMA website for more information about CPT PLA codes and COVID-19 CPT vaccine and immunization codes. Available by end of June 2023.
  • Encounter validation now checks for the admission date when the place of service is 21, 51 or 61. Available by end of June 2023.
  • The character limit of Box 19 for paper claim versions CMS-1500 02/12 and 08/05 has increased from 51 to 71 characters per NUCC guidelines. Available by end of June 2023.
    Update: Availability has been moved to end of July 2023.
  • When collecting patient payments, saved cards now display if they have expired or will expire soon.
  • Web User Settings now has a user search filter that allows you to narrow your search to specific user type(s): Provider, Non-Provider, Locked, and/or Unlocked. Available by end of June 2023.
  • For self-pay services, a streamlined collect payment experience from the appointment is now available in the Platform.
  • The Change Payment Information page in My Account was updated with the Payment Method page in the Platform.

Billing Resolved Issues

  • Fixed an issue where the Insurance Collections page of the Billing module could not be filtered by provider
  • Fixed an issue where were unable to access Kareo
  • Fixed an issue where users were not prompted with the additional verification when Two Factor Authentication (2FA) was enabled
  • Fixed an issue where users received an error message when running patient eligibility checks
  • Fixed an issue where users received an error message when running reports
  • Fixed an issue where users received an error message when opening Contracts and Fees
  • Fixed an issue where users received an error message when sending patient statements electronically
  • Fixed an issue where payment cards were not being saved when collecting patient payments
  • Fixed an issue where paper patient statements were not being sent
  • Fixed an issue where SMS messages were sent in the early morning hours
  • Fixed an issue where not all appointment reminders were sent
  • Fixed an issue where Billing only subscribers were unable to access Documents

Enhanced Drug Search

The enhanced drug search lookup allows providers to search for and prescribe the medications they need efficiently and effectively. The search results includes an expanded list of durable medical equipment (DME), supplies, and all active medications with a NDC code (e.g., Auvelity, Plenvu, Methylphenidate, etc).

Advanced drug search is available on the following pages or sections:

  1. Access a patient's prescription.
  2. Click to select "Advanced Search".

  1. Enter the name of the drug, DME, or supply to return a list of matching results with the the available dispensable drugs and the brand name or generic form of the drug. Select the desired result from the list.

Clinical General Improvements

  • As mentioned in May 2023's release notes, the Medicare Promoting Interoperability Dashboard and Electronic Clinical Quality Measures have been updated with the 2023 changes. Both Promoting Interoperability and Quality Measures supporting documentation was updated to reflect the annual 2023 Promoting Interoperability changes.   • The Drug Allergy Module now gives provider's the ability to identify drugs known to cause significant allergic reactions, cross-sensitivities, and drug intolerances. Additionally, the drug-allergy screening looks at certain inactive medication ingredients (i.e. latex and peanuts) to identifies and helps avert drug-allergy issues based on the patient's documented allergies. Available by end of June 2023.
  • The Unsigned Notes dashboard was updated to provide System Administrators enhanced filtering capabilities such as: Visit Date Range, Providers, Patients, or Note Type. Additionally, the data will update in real-time to increase efficiency. Available for all customers by end of June 2023.

Platform

Payment Method

System Administrators can change the credit card or ACH payment information used to process payments for their account through the Platform.

Feature available by end of June 2023.

Update Payment Method
  1. Hover over the User icon and click on Practice Settings. The Practice Settings page opens.
  2. Click Tebra. Additional setting options expand.
  3. Click Payment Method. The Update Payment Method page opens.
  4. Click to select "Credit Card" or "ACH".
  5. Enter the applicable fields.
    Note: To avoid interruptions in services, the name on the card and the address must match the information on file with your credit card company or bank.
  6. Click Update when finished.
